How often should a fire alarm be tested?
Every business with a fire alarm has a testing schedule it is expected to keep. Most premises we visit are doing the weekly test and nothing else. Here is what the law and the British Standard actually ask for, and what an inspector or insurer will want to see.

The legal position, in one paragraph
Under the Regulatory Reform (Fire Safety) Order 2005, the responsible person for a non-domestic premises must make sure fire safety equipment is maintained in efficient working order and in good repair. The Order does not spell out a testing timetable. It sets the duty and leaves the method to you.
In practice, the way you demonstrate you have met that duty is by following the relevant British Standard, which for fire detection and alarm systems in non-domestic buildings is BS 5839-1. That distinction matters. The standard is guidance rather than law, so nobody prosecutes you for departing from it. But after a fire, an enforcement visit or an insurance claim, it is the benchmark everyone measures you against. Following it is how you show your maintenance was reasonable.
The weekly test
This is the one most businesses already do, and the one most businesses do slightly wrong.
BS 5839-1 recommends testing a manual call point every week, and importantly, a different call point each week. Working through them in rotation means that over a period of months every call point on the system gets proven. Testing the same one by the front door every Monday proves that one call point works and tells you nothing about the other fourteen.
- Tell staff the test is happening, and notify your alarm receiving centre if the system is monitored, so nobody dispatches the fire service.
- Operate the call point with the test key.
- Confirm the sounders operate and can be heard throughout the premises.
- Confirm the panel displays the correct zone for that call point.
- Reset the system and record the test in the logbook, noting which call point was used.
Keep it to the same day and time
Running the test at a consistent slot each week means staff recognise it as a test rather than a real alarm, and it makes the pattern obvious in your logbook. It also means that if the alarm sounds at any other time, everyone treats it as genuine.
Six-monthly servicing
BS 5839-1 recommends that a competent person inspects and services the system at intervals not exceeding six months. Two visits a year is the baseline for most premises. Higher-risk sites, unreliable systems, or premises with a history of false alarms may justify quarterly attendance.
A proper service visit covers:
- Reviewing the logbook for recorded faults, false alarms and weekly test entries
- Inspecting the control panel, including all indicators and controls
- Testing standby batteries and confirming they will support the system for the required period
- Functional testing of a proportion of detectors and call points, so all devices are tested across the year
- Checking sounder audibility throughout the building
- Verifying that cause and effect programming still matches the building
- Confirming that layout changes have not left areas uncovered
- Issuing a signed service certificate
That last point is the one that matters commercially. The certificate is what your insurer and your fire authority want to see. No certificate means no evidence, and no evidence means the maintenance may as well not have happened.
Who counts as competent?
The Fire Safety Order requires a competent person, and again it does not define the term precisely. What it means in practice is someone with the training, experience and knowledge to do the work properly, and who can prove it.

What goes in the logbook
The logbook is not paperwork for its own sake. It is the document that proves the duty was discharged, and it is the first thing an inspector asks for. It should record:
- Weekly tests with the date, the call point tested, the result and initials
- False alarms with the date, time, zone, suspected cause and action taken
- Faults with the date reported, the nature of the fault and the date it was rectified
- Service visits with the engineer, the work carried out and the certificate reference
- System changes including devices added or removed, zones altered and reprogramming
- Disablements noting which zones were isolated, why, and when they were reinstated
A logbook with a gap in it is a gap in your defence. If the person who owned that task has left the business, someone needs to pick it up this week.
False alarms are a compliance problem too
Persistent false alarms are worth taking seriously for reasons beyond the nuisance. They erode staff response, so people start ignoring the sounders. They consume fire service resources, and brigades now operate cost recovery or reduced attendance policies for repeat offenders. And a logbook full of unexplained activations is difficult to defend at an enforcement visit.
The usual culprits are detectors positioned badly for the environment, such as smoke detectors near kitchens or shower rooms, contamination from dust during building works, and detectors that have simply reached the end of their service life. All three are addressed at a proper service visit, which is exactly why the six-monthly interval exists.
What it looks like when it goes wrong
The pattern we see repeatedly across the North East is not deliberate neglect. It is drift. A business installs a system, keeps the weekly test going for a year or two, and then the person who owned that task leaves. The logbook stops. The service contract lapses when the original installer stops chasing. Nobody notices until the premises changes hands, an insurer asks for certification, or the fire authority makes an unannounced visit.
By that point you are not looking at a routine service. You are looking at failed batteries, detectors past their service life, no documentary history at all, and an enforcement notice with a deadline attached. Catching it at the six-month mark costs a fraction of that.
